Choosing the wrong venue
People often select a meeting venue in an absent minded way without taking into consideration factors such as the content and format of the meeting. This could present a number of challenges for example, if you plan on having breakout exercises and you haven’t planned for these you may end up with a space that is far too small.

Skipping site inspections
Once you’ve selected an ideal venue you should take time out to do a site inspection. Meet with your event planner and run through the venue together to make sure that everything is as you imagined it would be and that if any issues arise you have contingency plans to deal with them.
Failing to accommodate special needs
As the organiser of the meeting, the onus is on you to make sure that the venue is accessible for all attendees. You should also make sure you find out if any of your guests have allergies or special food requirements so you can liaise with the chef or caterer to provide some suitable food options.
